Organising Tracked Keywords with Tags

What are keyword tags?


A tag is a label you can put on a tracked keyword in Rank Tracking. A keyword can have several tags, and a tag can be on as many keywords as you like.

Typical tags are product lines ('Sitemap Tools'), topics ('Indexing'), intent ('Comparisons', 'How-To'), or a simple brand split ('Brand', 'Non-Brand'). There is no fixed list - you create tags as you go, and any tag you have used before is offered as you type.


Note: Keyword tags are separate from the tags you use on tests. The two lists do not mix.


Why use tags?


If you track a few hundred keywords, the Rank Tracking table is one long list. Tags turn it into a handful of readable sections, so you can look at a single product line, topic, or intent group on its own - and see the average position and top-3 / top-10 counts for that group rather than for the site as a whole.


Adding tags to keywords


There are four ways to tag keywords, and you can mix them:

  • When adding a keyword. The Add Keyword form has a Tags field. Type to pick an existing tag or create a new one:


  • When editing a keyword. Click Edit on any row:


A pop up window will then appear as below. Under the 'Tags' option, you can click on the small 'x' on any tag to remove existing tags, or you can enter a new tag here. Tags you remove here are removed from that keyword only:



  • In bulk. Tick the checkboxes for several keywords, then click Add Tags or Remove Tags above the table. This is the quickest way to tag an existing list by hand:



  • Automatically. Click Auto Tag at the top right of your screen in Rank Tracking, and let the AI propose tags for your untagged keywords (or all keywords).

Filtering and grouping the table


Once a site has tags, you can filter and group the table: a row of filter chips appears above the table - one per tag with a count, plus an Untagged chip so you can find what still needs sorting.



  • Click a chip to show only keywords with that tag. Click a second chip to narrow further: with two tags selected you see keywords that have both. Click Clear to reset.
  • Click a tag badge in the Tags column to do the same thing from inside the table.
  • Group by tag (the toggle at the top left of the table) turns the list into one section per tag. Each section header shows the number of keywords, the average position, how many are in the top 3 and top 10, and the average daily change. A keyword with two tags appears in both sections.


The filter and grouping are saved in the page address. If you create a Magic Link while a filter is applied, the person opening it sees the same view.


Managing tags


Click on the Actions button in the top-right, then select Manage Tags to see every keyword tag on the site with its usage count:


From here you can:

  • Rename a tag and the new name applies to every keyword using it.
  • Delete a tag to remove it from every keyword. The keywords themselves are not affected.
  • Click a tag name to close the dialog and filter the table by that tag.


Auto Tag


Auto Tag reads your tracked keywords and proposes a small set of tags, then assigns each keyword to the tags that fit. Nothing is saved until you review the result and click Apply, and Auto Tag never removes a tag a keyword already has.
You'll find it as the Auto Tag button next to Add Tags and Remove Tags.


Note: When a site has untagged keywords, a banner above the table also offers it.


How a run works:

1. Setup. Choose whether to analyse only untagged keywords (the default) or all of them, and where the tags should come from: your existing tags, new suggestions, or both. You can add a line of guidance such as 'group by product line' or 'split brand vs non-brand', and set a maximum number of new tags.


2. Proposed tags. If new tags are allowed, you see the proposed list with a one-line description and a few example keywords for each. Rename anything you don't like, untick anything you don't want, or add a tag of your own. Keywords are then classified against this exact list, so getting the names right here saves editing later.


3. Assigning. Keywords are classified in batches with a progress bar. A full run takes a couple of minutes. You can cancel and review what has been done so far.


4. Review. Results are grouped by tag with a checkbox on every row and a confidence badge. High and medium confidence rows start ticked; low confidence rows start unticked so you can look at them first. Keywords that didn't fit any tag are listed separately and left untagged. Click Apply to save the ticked assignments.


Tips for getting the most out of Auto Tag:

  • If a site already has tags, 'use my existing tags only' is the safest first run. It fills gaps without inventing new categories.
  • Guidance makes a real difference on mixed lists. One sentence about how you think about the keywords is usually enough.
  • Run it again later with the default 'untagged only' scope to catch up on keywords you have added since.


Tracking a keyword from the All Queries report


On the All Queries report and the other query lists, the first arrow icon in each row’s action icons adds that query to Rank Tracking in one click.



If the list is split by page, the page becomes the keyword’s target URL. A keyword that is already tracked is not added twice.


Exporting


The CSV export from Actions → Export includes a Tags column with the tags for each keyword separated by a pipe character, so you can sort or pivot by tag in a spreadsheet.


Frequently Asked Questions


Can a keyword have more than one tag?

Yes. A keyword can have as many tags as you need, and it appears under each of them when you group the table by tag.


Do keyword tags affect the tags on my tests?

No. Keyword tags and test tags are separate lists and don't mix.


Does deleting a tag delete my keywords?

No. Deleting a tag removes it from every keyword using it, but the keywords stay tracked.


Will Auto Tag overwrite the tags I've added myself?

No. Auto Tag only ever adds tags, and nothing is saved until you review the proposed assignments and click Apply.


Can I share a filtered view with someone else?

Yes. The filter and grouping are held in the page address, so a Magic Link created while a filter is applied opens on that same view.
